With all these youngins wanting to go I guess that makes FireFly and I the "parents" :wink:

Ok, so first step is get signed up on the night of April 15. FYI, even if you don't get signed up that night, there is still a pretty good chance you will get in. Many people will sign up for a BYOC spot and then never show. They sign up just in case they can make it.

As for flying vs. driving, as long as your car engine doesn't completly die (as mine did last year), driving is much cheaper. I did all these calculations last year and there is no contest.

Flying you've got to pay for the round trip ticket plus the extra cost of shipping your computer (a costly and DANGEROUS thing to do) for each person. By driving you can split the cost among everyone traveling with you and it becomes a lot less.

I will start finding info about renting an RV and doing actual cost comparisons to see if it is feasible.

Tekie, I definitely want to register as press this year. Keep in mind this doesn't mean everyone from FITES is press. We should limit press to Tekie, me, and maybe one more. Contact me on AIM so we can figure out the who's where's why's how's when's and what's.

Can they pack PC's, monitors and whatnot?

Or is it smarter to have someone who has a truck drive down with all of the PC's and have everyone else take the bus?

I just looked up the rates for grayhound.  It is 298.00 for a round trip from harrisburg to dallas(not sure how close dallas is to grapevine)

Greyhound is probably the best way to go for lugging a lot of stuff a long way. We managed to stuff alll the cases from the instruments in jazz band (lotsa instrument cases, about 3 amps and a drumset) so about a dozen computer towers and monitors should be no problem. You can always throw small towers in the overhead bins =P

If billabond's estimate is right it would be $25 a person for a dozen people, which is not bad.

I myself  am not going though.

There is no way I am taking a grayhound bus the whole way to Texas. It would take forever and a half. Driving ourselves will only take forever :)

Not to mention the fragility of computer equipment. I really doubt it would survive the trip. Also, that leaves no transportation once you're down there.

I'm still going over RV stuff, BUT two vans would be better since we don't really need an RV to sleep in. One for people, one for equipment. Fabio has mentioned his van to me, anyone else have a van that would like to go? I can't have a "I think my parent's would let me use theirs" and then come to find out you didn't ask them about it. If you don't own the van, make absolutely positive you have approval to use it. We hoped to use FireFly's parent's van last year and that didn't happen, so be forewarned.

One other thing I really need to stress. If we want to do this and split travel costs, we really need to stick together and split it. If everyone ends up doing something different or the refueling bills are not split along the way, then traveling together means nothing. Also traveling in as few vehicles as possible (ie, 2 vans vs. 4 cars) will also serve us better in the long run.

unfortunately, i can not privede anything in the transportation department.  I would be more than happy taking turns driving, but as far as a vehicle goes, i can't help.  Also, i am totally willing to split any costs that need to be split.

Just as an update on where I am in my research:

It's looking like if we have 9 people going (just a number to use, not accurate), it would cost anywhere from $200-$330 per person for the RV. That is including rental and estimated fuel costs.

Flying looks to be $299 for a round trip from BWI to DFW(which is right next to the Gaylord). However, you also have to factor in shipping your computer. FedEx has a "Hundredweight" rate where you can ship multiple packages and if they total over 100 pounds you get a special rate. That rate to Grapevine is $1.15/lb. Between computer, monitor, accessories (keyboard, mouse, UPS/surge, discs, etc.) I estimate it to be 125-150 pounds, putting shipping at about $175(one way). If you have a laptop to game on, congratulations.

One method I'm kind of curious about is train travel. I'm going to go look at that now. I will let you know after I look into that.
