gas would be a killer for an RV... think about it...  15mpg TOPS  gas is 2.099 (as of this morning at sheetz on the carlisle pike), but mid summer it is going to be 2.75ish for 87octane  flying might actually become a good option if it goes much higher then that

and honestly, Having the car there last year was nice because we could expolore/goto the mall/frys and fun stuff like that, plus the roadtrip was an adventure in itself.

And I know this year i'm bringing a laptop down no matter what, cause lugging the tower arround was a pain

If you have a laptop that can handle the games go for it! I would deffinitly do that over lugging a mid tower/17" CRT anyday, but i'm going down more for the fun of being there, as i'm not a "hardcore gamer" so i'm intending more on taking pictures (with "my" trusty D100) and posting daily updates and such on fites. So all I really need is photoshop and some light gaming, hence a powerbook is going to fit the bill. (I'm also gonna attempt to get a press badge) But make sure you can run the games to your liking on a laptop, you will be more than fine on q3a/cs but like ut and doom3 you might run into problems with.

Ok, so first step is get signed up on the night of April 15. FYI, even if you don't get signed up that night, there is still a pretty good chance you will get in. Many people will sign up for a BYOC spot and then never show. They sign up just in case they can make it.

As for flying vs. driving, as long as your car engine doesn't completly die (as mine did last year), driving is much cheaper. I did all these calculations last year and there is no contest.

Flying you've got to pay for the round trip ticket plus the extra cost of shipping your computer (a costly and DANGEROUS thing to do) for each person. By driving you can split the cost among everyone traveling with you and it becomes a lot less.

I will start finding info about renting an RV and doing actual cost comparisons to see if it is feasible.

Tekie, I definitely want to register as press this year. Keep in mind this doesn't mean everyone from FITES is press. We should limit press to Tekie, me, and maybe one more. Contact me on AIM so we can figure out the who's where's why's how's when's and what's.

I just looked up the rates for grayhound.  It is 298.00 for a round trip from harrisburg to dallas(not sure how close dallas is to grapevine)

We managed to stuff alll the cases from the instruments in jazz band (lotsa instrument cases, about 3 amps and a drumset) so about a dozen computer towers and monitors should be no problem. You can always throw small towers in the overhead bins =P

If billabond's estimate is right it would be $25 a person for a dozen people, which is not bad.

I myself  am not going though.

There is no way I am taking a grayhound bus the whole way to Texas. It would take forever and a half. Driving ourselves will only take forever :)

Not to mention the fragility of computer equipment. I really doubt it would survive the trip. Also, that leaves no transportation once you're down there.

I'm still going over RV stuff, BUT two vans would be better since we don't really need an RV to sleep in. One for people, one for equipment. Fabio has mentioned his van to me, anyone else have a van that would like to go? I can't have a "I think my parent's would let me use theirs" and then come to find out you didn't ask them about it. If you don't own the van, make absolutely positive you have approval to use it. We hoped to use FireFly's parent's van last year and that didn't happen, so be forewarned.

One other thing I really need to stress. If we want to do this and split travel costs, we really need to stick together and split it. If everyone ends up doing something different or the refueling bills are not split along the way, then traveling together means nothing. Also traveling in as few vehicles as possible (ie, 2 vans vs. 4 cars) will also serve us better in the long run.

unfortunately, i can not privede anything in the transportation department.  I would be more than happy taking turns driving, but as far as a vehicle goes, i can't help.  Also, i am totally willing to split any costs that need to be split.

Just as an update on where I am in my research:

It's looking like if we have 9 people going (just a number to use, not accurate), it would cost anywhere from $200-$330 per person for the RV. That is including rental and estimated fuel costs.

Flying looks to be $299 for a round trip from BWI to DFW(which is right next to the Gaylord). However, you also have to factor in shipping your computer. FedEx has a "Hundredweight" rate where you can ship multiple packages and if they total over 100 pounds you get a special rate. That rate to Grapevine is $1.15/lb. Between computer, monitor, accessories (keyboard, mouse, UPS/surge, discs, etc.) I estimate it to be 125-150 pounds, putting shipping at about $175(one way). If you have a laptop to game on, congratulations.

One method I'm kind of curious about is train travel. I'm going to go look at that now. I will let you know after I look into that.

Ok, train travel is out. The schedule just isn't very accomodating. If we left Saturday the 6th at 1:40PM from Harrisburg, we wouldn't arrive in Dallas until Monday at 1:20 PM. The ticket is $163 one-way, and I can't seem to find a return trip for when we would need it. Also, it really doesn't make much sense to go to Dallas by way of Pittsburgh and then Chicago before heading south to Texas, as their schedule would have it laid out.

Geez, I wish I was rich so I could just fly and be done with it. No better yet, just retire and roam the country in my own RV attending every LAN party along the way.

using you number from before, would three cars work?  You could run one car jam packed full of computer stuff and a driver and passenger to keep company.  then you could run two cars, one with three people and one with 4 people.  these two cars could also serve as overflow for comp stuff and luggage.

We could barely do it with three cars last year and that included an overhead luggage rack on my car. Cars just don't provide enough space to fit a lot of monitors and computers. And you don't want to be cramped for a car ride that long.

Tekie and Agent had to be crammed in the backseat with a stack of our 4 PC towers for about 3 hours for the first part of the trip to meet Nimby in VA. Yes, they're both scrawny so that helped, but this drive will take at least 24 hours or more to complete.

Another thing with only two vans, that means you only need two drivers and makes taking turns driving easier to manage.

and just a thought, with cars/vans (not rv's) the 25> crowd can drive as long (for me and fabio at least) as there is someone over 21 in the passanger seat.


And i'm not sure (like 99.9%) that Nimby can't drive down with us cause he needs to be there early for staff duties (thats what he told me in IRC)

you are right about being able to drive when there is someone 21 years of age and older in the passenger seat.  It's to bad that my dad won't probably won't let me use his car for the trip.  He has a big volvo wagon that is awsome at hauling stuff, but it is old and i fear it might have problems on the way.

yes, better not to risk it on a long trip. Turning around and rescuing your car in Arkansas after you get home is not a fun thing to do. Sadly I know it all too well.

Nimby: Yeah, I remember you saying something about that at some point. What's the word? When are you planning on heading down? I'm assuming when you said you were in, you meant for the room, which we should probably reserve soon. Now that we know the layout of the place from last year, let's try to get something with Atrium view and on the same side as the convention hall (cuts down on unnecessary lugging of equipment through the atrium). Can you take care of that if that's the case?

I would consider driving if it wasn't such a long distance.  However, the problem is that it's an immense distance and I seriously have no interest in being crammed in a small car worrying about gas mileage for 10+ hours.

I'm probably going to do the bus thing if for no other reason than the ease of it - just pack up my shiznit (bubble wrap if necessary) and curl up for a nice long nap.  Plus most buses have bathrooms onboard.  That's a nicety that can't be discounted.  

Airplanes are too expensive, trains seem to be out, so I'm probably going to stick with my idea of going bus-travel.  Plus we can always look into group rates.  Just an idea.

10+ hours? Put the emphasis on the + my friend.

Estimated straight through non-stop for any reason is about 22-23 hours. Factor in bathroom and meal breaks, plus we stopped in Memphis to get some sleep last year, and it took us about a day and a half.

If you really want to do the bus, that's your decision. But could we count you in on splitting the room?

One more thought on the topc of travel arrangement...

All these calculations are based upon me picking up whatever rental vehicle on Friday night and leaving Saturday morning.

But, if we cut a few days off there and leave Monday morning, we still get there early to do volunteering and save ourselves a few hundred bucks on travel and room expenses.

I realize we all want to be down there as much as possible, but this may be the best solution for our wallets as I know everyone is concerned with price.

Thoughts?

I did not even know when we were leaving in the first place.  

Judging by how long you say it takes to get there, we would still arrive tuesday morning/afternoon is we leave monday morning.  

The event starts on Thursday so we would still be there for a  day and a half before the event starts.  Being there longer would be a good time, but i don't know(like sully says) if those extra days would be worth the extra $.  

I am very flexible, so what ever is going to work better.

Last year we left Saturday morning partly because of the excitement of going for the first time and partly because Nimby had to be there by Sunday.

Getting there Tuesday would be a good time of arrival. It's before the madness that takes place on Wednesday/Thursday and it gives time to get familiarized with the massive layout of the Gaylord and most importantly to volunteer your sweat and tears for setup.

I'll run the numbers again this weekend and see how much of an impact that makes. I'd still like to get 1 or 2 more people, but we'll see how things go.

FYI: Be sure to pre-register yourself on the QuakeCon website and fill in as much information as you can so when 9PM on April 15th rolls around, regging for the BYOC will be much easier. That site will be swamped for several hours that night and any precious seconds you can save will be helpful.

Also, i am currently torn as to whether or not i want to bring my laptop or my main rig.  My laptop runs almost every game decently, but i don't know if the smaller size is worth the lack in performance, after all it is a lan party.  input?

I saw on the quakecon faq that there was not going to be any windows file sharing, that would not be cool.

It won't be official of course, but there always impromptu and/or unofficial tourneys organized by the attendees. You just have to keep an eye on the quakecon forums or post something yourself. You're bound to find multiple servers of multiple games at multiple times.

Although oddly, I didn't see many FarCry games last year. Oh yeah, FarCry multiplayer sucks...nm.

It won't be official of course, but there always impromptu and/or unofficial tourneys organized by the attendees. You just have to keep an eye on the quakecon forums or post something yourself. You're bound to find multiple servers of multiple games at multiple times.

Although oddly, I didn't see many FarCry games last year. Oh yeah, FarCry multiplayer sucks...nm.

Some explanation...

Initial cost is rate for 1 week plus security deposit plus mileage plus cost for a car tow (if applicable).

Est. fuel is based on the current natl. avg gas price and 10mpg (the consensus mpg I got from all the places I called) and 2911.8 miles according to Yahoo Maps.

Est. total cost takes inital cost, adds sales tax, and subtracts the security deposit. The security deposit is only refundable if there is no damage and the RV is returned clean. Some places also give a mileage credit per day. If this is the case, that is factored in as well.

Cost/Person is total cost/number of people, which currently stands at 7.

I am currently leaning toward Lady Luck. Ault's is cheaper, but we cannot tow a car with them and the extra $23 would be worth it to have a car down there.

I am calling the Gaylord tomorrow to reserve a room. I will post room costs after I get done there.

FYI, if we get 2 more people to go, the cost/person drops to $186.83 for Ault's and $204.58 for Lady Luck.

To keep you up to date, I just got off the phone with the Gaylord and they are having a problem with the reservation system right now (it shows they have no rooms available which the person knew for a fact to not be the case, so don't worry). They will call me back tomorrow after the problem is resolved.

I am shooting for arrival on Tuesday the 9th and departing early Sunday morning on the 14th. That's 5 days, so rough guess right now is (5*119)/7=$85 per person, but this does not factor in taxes or fees. I will get a solid estimate after they call me back.

EDIT: Did everyone who said they're going get signed up? I tried looking up who registered and I did not see Valkerie. Did you get in dude?

Apparently the QuakeCon website was wrong on the room price, it is $129 per night base cost for a quad occupancy.

So, that makes it (($129*5 nights)+taxes and fees)/7 people = ~$110 per person.

FYI, there is a 7.25% sales tax and a 12% room tax, plus a $10 night "resort fee" which includes high speed internet in the room, free shuttle service to local attractions (ie, the mall), first 20 minutes of local calls are free, and some other stuff I just kind of zoned out because I was multi-tasking. So that's what the taxes and fees entail.

The room is currently reserved with an atrium view, but the actual room is not assigned until you check in, so I can't guarantee it will be on the convention hall side.

I asked this earlier but still no answer...Valkerie are you still in or not? If you're not, then everyone else's prices go up. Please let me know ASAP so we can get this planned accordingly.

We had a base of 7 people in our room last year, plus on some occasions more, so yes, 7 people is not a problem.

Also keep in mind that this runs 24/7, so except for maybe Tuesday night, people will probably be sleeping in shifts just because they be down in the BYOC until 6AM before they finally crash for the night.

IM IN... now i am also pondering what to do with myslef...seeing as i am not too good at all at gaming i might just go for the fun of being there and not worry about gaming, plus i want to wait till i have my own comp built so i dont have to worry about it crashing or freezing every 30 seconds so i guess that means one less computer to take along :)  But i as well will split costs for whatever may arise of the situation and also why dont we just rent a small uhaul trailer for the equipment and get a couple of vans.  i know you can rent them for fairly cheap err so i think...

Baltimore's not that far out of reach at all. In fact it's only about a 2 hour drive south of us in Harrisburg.

Last year we and Nimby met up to travel down together. He's in Annapolis.

If you truly are interested in going with us, that makes 8 and I think that would be the max number of people I'd be comfortable with in one vehicle.

Yes, I do. I stopped in at Rohrer's Bus Service in Duncannon as I saw they had several large vans (the kind schools use) in their lot. I went in and asked if they rented them. Unfortunately they don't. They do however rent 26-passenger buses. Random thought, but wouldn't be awesome to take a short bus to QuakeCon?? We could just act like our retarded selves and fit in perfectly! :)

Anyways, that means I think the RV scenario stands firm. The next step is to actually go see these RV's in person and make the decision from that. If anyone wants to go see them with me let me know. It will have to be a weekend. If I go myself, no big deal, I just thought I'd offer.

Just got off the phone with Lady Luck RV. Apparently I wrote the weekly rate down wrong, so the correct price for them is $244.73 per person (with 8 people). Still the 2nd cheapest and unlike the very cheapest, allows a car tow.

Sorry. But I guess it doesn't make that big of a difference overall.

if you are towing a car behind you, you can put all of the crap in the car itself. No one will be actually driving the car.

Were you talking about putting a U-Haul attached to the car? Number one I don't think that's legal and number 2, even though a U-Haul trailer isn't that expensive, free is always better.

If you were talking about getting a trailer instead of towing a car, remember we want to have a car while down there so we can get around to the places around Grapevine at more easily.

Yes, Fry's is (as tekie put it) the Wal-Mart of computers, electronics, and geek toys of all shapes and sizes. They even had UT2k4 setup on two machines on adjacent end caps that you could LAN on. It was at that moment I knew I found Geek Heaven.

I've been to CompUSA in Towson a few times, but FRY's is 10 times cooler.

I called the guy about confirming the RV, but haven't heard back from him yet. He is a commercial airline pilot, so good chance he's out of town flying to some far off place.

On other news, one of the people who responded to my post on the QuakeCon forums as wanting to travel down with us said he is out. He was only going to be going if his RTCW team qualified for the tournament (and they didn't) so he is out. That leaves us with 5 or 6 people for the RV.

Tekie and Fabio, is there anything I can say to convince you (or your parents) to come down with us instead of flying?

This year will be a much different driving experience I promise (ie, we're not taking my car or any other small sub-compact for that matter).

The fewer people that are driving down with us, the harder it becomes to pull it off financially.

Think about it. There is a TV in the front console (although I've been told it doesn't work while the RV is driving), there is a table for easy access for laptops (and I'll bring a 5-port switch for some LANage if need be), or you could use the table for cards or other board games that I plan on bringing for the trip, a queen size bed in the back and LOADS more room than last year or an airline seat will give you.

We're about 1 month away. Damn. It's approaching faster than I realized.

Anyone else have an inkling to go? We're talking an insanely sweet time here. Please just think about it. You won't regret it. I promise.

Ok, so I've gotten out the quick story in e-mail to most of you affected by this, but as promised, here is the full details. I got a call from the guy today about his RV. This was a side business he ran to offset the costs of owning the RV, so it wasn't something he relied on to make a living. He was talking to his insurance company today asking about towing a car behind the RV and the subject of liabilities and maintenance logs came up.

Although he has been taking care of the RV and performing routine maintenance on it, he didn't keep records of it. So for the time being, his rrental business is on hiatus. That means no RV rental for us.

However, with our dwindling driving numbers (now down to 4 from our original 7 or 8), the RV was becoming an expensive proposition. So we now no longer need all that room and it the cost has increased dramatically.

I looked into renting a mini-van today. Since we will only need room for 4 people, this is now an option.  Comcast has an agreement with Avis that
lets employees get a discount on car rentals. The discount in this case is about $113 off plus UNLIMITED mileage. So rental for 8 days (I put in 1 day extra just in case) plus taxes and state surcharges, etc. comes to $432.54.

I declined the insurance stuff because my credit card will cover that at no charge. I haven't figured out the estimated gas costs yet, but it should definitely be cheaper than the RV as well. RV's only avg. 10 mpg, the van should get about 23 mpg.

As for the room:
 
Arrival Date 8/9/05
Departure Date: 8/14/05
 
Room Rate, plus taxes, etc.: $722.40
Resort fee: $10/Day x 5 days = $50
Parking: 50% discount = $4.50/day x 5 days = $22.50
 
grand total: $794.90 / 6 people = $132.48 per person
 
Is that count of 6 correct? We've had a couple people drop out and I know there have been mentions of maybe this person or that, but by my counts I'm seeing me, FireFly, agent, billabond, tekieb, and fabio. If this needs adjusted in any way please let me know ASAP.

I live 10 minutes outside of Harrisburg, where exactly are you meeting at and precisely when?

How are hotels setup? Are you driving straight through and by switching drivers or do you plan on stopping for lodging?

I have a 2004 Saturn Ion Coupe. If the minivan is full I can gladly take one person in my car provided they know how to drive a manual transmission and we can follow you guys down. Whoever I would take is in for a good ride, because they can sit in the back and use the fold down front seat as a desk or footrest and rear power outlet for a notebook or other device to kill time if they are so inclined. I also have an mp3 deck so they can bring a cd full of tunes for their driving shift :)

Also, I wanted to post this last night but never got around to it, we definitely have someone else who will be joining us, making it 5 driving in the van and tekie and fabio flying. I thought I was logged in for my previous post, but apparently not :)

I talked with Shaun/Sully via IM, and it seems I'll be able to ride in the van with the rest of you, provided I can get an extra day of vacation, I should know tomorrow.

If you get many more people than will fit in the van I can drive and take 1 person (coupe is too small in back to fit a full size adult comfortably with 2 people already up front) and possibly some gear if need be. I only ask that my passenger not have any traffic violations and is very experienced driving a manual tranny if it comes to that... which I hope it doesn't :)

I generally pass out from exhaustion sometime between 9 and 10 pm (I work between 5am - 6pm or thereabouts), so I probably won't be at any meeting that starts after 8:45pm or so.  If I'm still awake, however, I'll certainly be there (est ~0-1% probability of success).  :bigcry:
